Generating purchase orders

Introduction

This screen allows you to generate purchase orders based on current stock levels to replenish the stock of items up to the minimum or maximum defined stock level. This function allows you to monitor the stock levels of items and avoid shortages.

Fields

Calculation

Select MRP or Stock positions to display an overview of the items availability based on the Material Requirements Planning (MRP) or stock positions respectively.

Note: Depending on what you select at Calculation, some criteria are not enabled. If MRP is selected, Frequency, Shortage, Stock, Order policy code, Empty fulfillment dates, and Show only: Advice <> 0 are not enabled.

Warehouse

Select a warehouse to display the MRP or stock positions of items belonging to the selected warehouse. If no warehouse is selected, then MRP or stocks positions in all warehouses will be displayed.

Note: This option is only available if the E-Warehouse management is in the license.

Assortments

Select the assortment(s) to display the MRP or stock positions of items linked to the selected item assortments. If no assortment is selected, then the MRP or stock positions for items linked to any assortment will be displayed.

MRP scenario

Type or select the MRP scenario to display MRP based on the selected scenario.

Item

Type or select an item or range of items to display MRP or stock positions of the selected item(s). Select the All check box to display the MRP or stock positions of all items.

Note: If you select or type only the start item, then the system will display MRP or stock positions for items with code that are equal to and greater then the selected item code. If you type or select only the end item then the system will display MRP or stock positions for items with code that are equal to and lesser then the selected item code.

Supplier

Type or select a supplier (creditor) to check the stock level of items from the selected supplier.

Planner

The planner of the item by the warehouse will be pre-filled here. The planner for the item is defined in the Items per warehouse screen at the Inventory tab of the item maintenance. If the planner for the item by the warehouse is not defined then you can select any person who enters the planning. This will display the MRP or Stock positions planned by the selected person.

Frequency

Type the number of days from the current date to view the stock positions for the corresponding period. For example, if you type 2, it will display the stock positions for the two days starting from the current date.

Shortage

Select the option to display the stock positions of items based on the selected shortage level. Three options are available:

  • Zero — Select Zero to display the stocks positions of items with no or insufficient stock to meet its requirements.
  • Purchase order level — Select Purchase order level to display the stock positions of items with the purchase order level or lower.
  • Maximum stock — Select Maximum stock to display the stock positions of items with the maximum level or lower.

Stock

Select the option to display the stock positions of items based on the selected item attribute. Three options are available:

  • Order controlled — Select Ordered controlled to display the stock positions of order controlled items.
  • Stock controlled — Select Stock controlled to display the stock positions of stock controlled items.
  • All — Select All to display the stock positions of both order controlled and stock controlled items.

Order policy code

Select this check box to display the stock positions of items based on the order policy code. Order policy codes are business rules that determine the way the stock is replenished. There are two types; order controlled (Lot-for-lot) and stock controlled (Fixed, Period order, Reorder point). You can specify the order policy code for stock controlled items (Fixed, Period order, Reorder point) by going to the Inventory tab at Purchase ➔ Items ➔ Maintain. For items that are order controlled, the default order policy code is Lot-for-lot.

Note: For the order policy code of type Reorder point, the calculation for the replenishment of stock is based on the minimum purchase order level. The system will only advice to purchase if the stock is less than the minimum PO level. If this condition is met, then the system will take the available stock minus the maximum stock and this is computed as shortage. If the shortage quantity can be divided by the PO size or batch size, then the system will take the shortage quantity as the advice quantity. If the shortage quantity cannot be divided by PO size, then the system will take the shortage quantity and round down to the nearest the PO or batch size.

Empty fulfillment dates

Select this check box to display the stock positions of items in purchase orders with no fulfillment dates.

Show only: Advice<>0

Select this check box to display stock positions of items that have purchase requirements.

Buttons

Excel

Click this to generate the MRP or stock positions overview based on the defined criteria in Microsoft Excel.

Display

Click this to display the MRP or stock positions overview.

Note: If you have selected MRP at Calculation, then order/requirement for each item is displayed. If you have selected Stock positions, then the availability for each item is displayed. From this screen you can see highlighted cell(s) for the item(s) to be purchased. Click the PO button and the Generate purchase orders screen is displayed.

The Selected column has a green check mark for the main supplier of the item. In the Advice column, specify the quantity you want to order or accept the proposed advice quantity shown. Click OK to generate the purchase order for the selected item.

Close

Click this to exit.
